The Challenge
Prior to working with BizzyWeb, Pushnami was constrained by significant operational inefficiencies and escalating software costs. They were locked into an expensive Salesforce contract costing approximately $62,000 per year, representing substantial ongoing overhead.
Operations were also fragmented across seven disparate platforms — including Salesforce, Asana, Zendesk, Everflow, HitPath, Maxio, PandaDoc, and Retool — preventing a unified view of the customer.
That fragmentation also showed up in everyday work. Account managers relied on manual Asana form submissions, Slack messages, and email threads to track partner onboarding milestones, creating delays and lack of accountability.
Finally, Pushnami’s existing data created another layer of complexity. The legacy Salesforce instance contained over 5,000 duplicate contact and company records, outdated custom fields, and unsearchable partner tracking IDs.
With its Salesforce contract approaching expiration, Pushnami had an opportunity to replace an expensive, fragmented system with a CRM built around the way its teams actually worked.
Finally, Pushnami needed a foundation strong enough to start utilizing AI tools. They’d held off on AI enablement because of the underlying data issues and disconnected systems, but wanted to finally start using AI in daily workflows.
Client Priorities
Complete a full CRM migration prior to the August Salesforce contract expiration deadline
Replace manual Asana task checklists with automated project pipelines triggered seamlessly upon deal closure
Bring customer and partner information from disconnected platforms into a centralized CRM
Clean up existing CRM data and create stronger standards for future data quality
Have an AI-ready data foundation to start exploring new technologies
The Plan
BizzyWeb engineered a full-scale migration to HubSpot GrowthSuite Pro (Sales, Service, Marketing, Content, and Operations Hubs), completely re-architecting Pushnami's operational workflows. We identified HubSpot as the ideal solution for Pushnami, given that the platform offers greater connectivity between multiple tools compared to other CRM options. Our solutions addressed a few key project goals.
Bringing Disconnected Information Into HubSpot
We started by transitioning all Sales and Customer Success operations to native HubSpot Sales and Service Hubs, successfully reducing annual software licensing expenses from $62,000/year to under $30,000/year.
Instead of forcing employees to jump between platforms to understand an account, BizzyWeb connected important information back to HubSpot. PandaDoc insertion orders were integrated into deal records, platform fees from Maxio and tracking IDs from Everflow were mapped to company properties, and Zendesk support ticket activity was synchronized with contact records.
This gave Pushnami a more centralized view of each customer and partner while allowing specialized tools to continue serving their intended purposes.
Improving Cross-Team Handoff
We replaced Asana with native HubSpot Project Pipelines (Path and Push Onboarding). When a sales deal reaches Closed-Won, an automated workflow triggers a 30-minute delay before spawning a structured onboarding project associated with the primary contact, company, and deal. This helps all team members stay on top of a deal’s status, as well as have the information they need.
To further help keep everyone on the same page while also putting guardrails for data cleanliness, we implemented mandatory required properties across deal and project pipeline stages. Sales reps must input critical technical parameters — including CPA payouts, postback pixels, target domain lists, and Everflow IDs — before deals can progress, eliminating incomplete handoffs.
AI Readiness & Data Architecture
To ensure Pushnami's portal was optimized for AI-driven reporting and future intelligence tools, BizzyWeb implemented rigorous data quality standards:
- Kickbox Deliverability Validation: Scrubbed and validated database email records to prevent bounce rates and preserve sender reputation.
- Automated Record Deduplication: Identified and merged over 5,000 duplicate contact and company records using HubSpot Operations Hub data quality management tools.
- Standardized Object Sync Rules: Established automated cross-object property syncs between company, deal, and project records to maintain data integrity across custom properties.
These criteria would ensure a clean starting point while also helping eliminate the friction points that typically create bad data. With that foundation, the team could confidently onboard and deploy AI tools into their operations.
The Results
The migration delivered immediate financial savings, total operational transparency, and eliminated manual onboarding handoffs.
| Metric | Baseline (Before) | Result (After) | Source / Reporting System |
| Annual Software Licensing Overhead | ~$62,000 / year | <$30,000 / year | HubSpot Contract Savings |
| Partner Onboarding Handoff | Manual Asana forms & Slack/email alerts | 100% Automated CRM Project Pipeline Creation | HubSpot Service Hub Workflows |
| Database Hygiene & Duplication | 5,000+ duplicate records | Cleared database & standardized property syncs | HubSpot Operations Data Quality |
| Tool Consolidation | 7+ disconnected platforms | Centralized workspace in HubSpot CRM | HubSpot CS Workspace |
Key takeaways:
- 52% Reduction in Software Expenses: Cut annual CRM software costs by over $32,000 per year while acquiring expanded automation capabilities across Sales, Service, and Operations Hubs.
- Zero-Friction Sales-to-CS Handoff: Automated project creation completely eliminated manual data entry in Asana, providing Account Managers with instant visibility into newly closed accounts.
- Real-Time Operational Transparency: Custom reporting dashboards now track team activity volume, pipeline progression, and account health across Customer Success without manual spreadsheets.
- AI-Enablement: Clean CRM with guardrail import rules ensures data is ready for AI tools to access and trust.
“Transitioning to HubSpot completely removed the friction between sales and customer success. Having automated project pipelines and synchronized partner data in one central workspace gives our team total visibility into onboarding without chasing down emails or Asana tasks."
